Administration Officer
About the Position:
In partnership with our leading government client, WorkPac is currently seeking an experienced Administration Assistant for an immediate start, based within Port Hedland for an initial duration of three months with view for extension for the right applicant.
Within this position you will provide administrative support across various business units within the Community Services Directorate, assisting with a wide range of administration functions from financial and executive support and related services.
Key Responsibilities:
Provide efficient and confidential administrative services and operational support to the Director and Directorate employees as required, including but not limited to:
Processing of items of a confidential/sensitive nature for all officers, as well as minute taking and related administrative support to meetings, working groups and related forums as required
Providing timely and effective diary management for the Director by prioritising and organising meetings with stakeholders and employees
Coordinating air travel, accommodation, taxi vouchers and car hire arrangements for the Community Services Directorate and relevant external parties
Coordinating queries regarding payroll in relation to the Directorate's employees, including attendance records and leave queries ensuring the leave calendar for the Directorate is up to date and monitored
Coordinating the submission of the Directorate's Agenda Items for each Council or Committee meeting
Compilation and distribution of Directorate staff bulletins
Assisting in maintaining and updating Community Services Directorate intranet content as well as internal operating procedures, documents and manuals and retaining them on the Town's intranet
Undertake purchasing for the Directorate subject to the relevant policies and within agreed authorization parameters and limits
Cover essential duties for staff members on leave where possible/capable
Participate in continuous improvement across the Directorate and contribute to the development of procedures/policies for effective administrative support
Coordinate and maintain the Directorate's IOP's documentation and manuals and maintain them on the Town's intranet
Maintain a high level of customer service to internal and external clients
Maintain a working knowledge of Town of Port Hedland Policies and Procedures
Ongoing compliance with the relevant Work Health and Safety Act 2020 and Regulations 2022, statutory requirements and relevant Legislation along with WHS IOP 015 Obligations and Responsibilities, the WHS Management Plan, policies, procedures and work instructions
Act in accordance with the organisational values of the Unity, Quality and Integrity
Ensure all information is captured within the Town's management and/or record keeping system
Other duties and responsibilities as directed within the skill and abilities of the individual
Experience Required:
Minimum Certificate III Business Administration
Previous experience working in an administrative role
Developed interpersonal and customer service skills
Developed verbal and written communication skills
Advanced word processing skills and computer literacy
Proven ability to work under pressure, use initiative and manage competing priorities
Desirable Experience:
Experience in the preparation of formal Council reports, meeting agendas and minutes or notes from meetings.
Experience in using and maintaining website content management systems.
Previous experience in Local Government.
