Project Administrator

About the Role:

WorkPac are seeking a experienced Project Administrator to join our leading Mining Client for an ongoing casual position. This position will have a Monday to Friday Roster,40 hours per week, based within the Brisbane Office. Flexibility for hours and Working From Home options are available.

Duties and Responsibilities:

Cost coordination / Procurement for R&D Portfolio projects

  • Single point of contact for purchase requisition requests and purchase order queries

  • Undertake financial processing for account management and processes for requisitioning and ordering of services and goods on behalf of project teams, in line with Rio Tinto procurement policy.

  • Maintain Portfolio purchase requisition request register

  • Coordinate review and approval of vendor invoices for approval to pay

  • Assist the Project Delivery office with project coordination tasks as required

Assistant to Chief Advisor R&D

  • Diary management, organising meetings and booking meeting rooms

  • Schedule daily/weekly/monthly meetings and appointments

  • Manage travel and administer expense reimbursement claims

  • Assist with preparation for meetings /conferences / presentations inputs, action follow-up, preparation of presentations etc.

  • Coordinate internal marketing for R&D e.g. Yammer, CSO presentations, asset newsletters etc.

HSE and Team Accountabilities

  • Understand and comply with all legislative and RT HSE requirements.

  • Participate in any R&D Team and HSE activities as required.

  • Process vendor invoices in Rio Tinto Business Solution (RTBS) system for payment

  • Lead through personal example commitment to HSE; ensure 2-way communication with employees

Skills and Experience:

  • Tertiary qualification in administration, business, engineering, construction or equivalent

  • Experience in project administration / coordination / controls and business management

  • Experience and proficiency in SAP procurement, contract administration, invoicing and / or cost accounting.

  • Project Management experience or qualifications advantageous

Personal Competencies:

  • Advance Microsoft Office skills with proficiency in Outlook, Excel, Word, PowerPoint, and Teams at a minimum.

  • Prior experience with SAP (Business solution) preferred.

  • Demonstrated ability to multitask and work to deadlines.

  • Excellent interpersonal; written and verbal communication skills with the capacity to communicate with a wide range of stakeholders.

Relevant experience

  • Minimum of 3-5 years work experience in similar role/s

  • Minimum of 2 years experience in executing cost control and procurement or related functions
