Senior Service/Office Administrator (Sourcing Order) Temp - Perm

About the Role

As the Senior Service Office Administrator you will be responsible for providing professional and efficient reception services to the office and wider business while handling all administrative duties of the branch workshop, warehouse and product support operations as required. This role is based out of our clients Melbourne Office working Monday to Friday.

Key Responsibilities:

  • Meet and greet visitors to the Company

  • Answer all calls that come through reception

  • Answer general enquiries and provide accurate information regarding the Company and its business.

  • Keep common areas, including meeting rooms tidy and clean through liaising with external cleaners and security companies.

  • Manage orders for and stocks of office and kitchen supplies.

  • Arrange banking, post-mail, parcel, carriers or external corporate events.

  • Back-up each other with other administrative staff for leave and/or absence.

  • Handle all paperwork and data entries into the system

  • Complete preparation for costing of invoices to customer, following up outstanding invoices from vendors

  • Outputting customer invoices once approved.

  • Sending service reports to customer once approved.

  • Completing work orders and notifications once invoices have been sent to customer.

Skills and Experience

  • Experience managing payments reports, including raising purchase orders or credit card approval forms.

  • Proven ability managing accounts with credit application information and applications as required.

  • Exposure working in a role with responsibilities regarding site access, visas etc for travel, meeting or assignments for technicians, leading hands and managers as required, following all company approval processes.

  • 3+ years in an Office Administrator or Service Officer role
