About the Role:

WorkPac are currently seeking a Divisional Secretary based in Dampier to commence work as soon as possible. This position offers a 9 day fortnight for candidates local to the Karratha area. This position will be for 10 months in duration.

Key Responsibilities will include:

  • Administrative and secretarial services to the Maintenance Managers

  • Coordinating domestic travel requirements

  • Calendar management

  • Preparing presentations, agendas and taking actions where required

  • Raising purchase orders, vendor sole sources, service entry sheeting, and assisting with processing invoices for payment as required

  • Monitoring overdue financial commitments and budget forecasts

  • Work with other team members and look for opportunities to assist others while also maintaining a high standard of work when operating autonomously

  • Cooperate with internal and external suppliers, identify discrepancies and escalate concerns

  • Assist other department secretaries for leave coverage, and when capacities allow work load distribution

  • Communicate efficiently, and professionally with team members and customers

  • Seek to identify and recommend improvements to existing practices and processes

Skills & Experience Required:

  • Experience in a similar role or role with transferrable skills

  • Advanced Microsoft Office program skills including Outlook, Word, and PowerPoint

  • Experience using booking systems, procure to pay systems and other company asset management systems such as SAP and Track, Concur, Prospect, Cornerstone etc

  • The ability to work in a fast-paced environment, prioritise, multi-task and have a flexible working approach.

  • Excellent written and verbal communication skills including stakeholder engagement

  • High level attention to detail

  • A commitment to the safety of yourself and your team

  • A current Australian C class drivers license
