About the Role:
WorkPac are seeking a for our client a Mobilisation Administrator. This position offers a Monday to Friday roster, located in Henderson.
Duties and Responsibilities:
Document Management: Maintain accurate and up-to-date records of personnel documents, including contracts, certifications, visas, and permits.
Onboarding Support: Assist in the onboarding process for new personnel by providing necessary documentation, information, and guidance.
Communication: Serve as a central point of contact for mobilization-related inquiries, both internally and externally, and ensure timely and clear communication with stakeholders.
Logistics Coordination: Coordinate travel arrangements, accommodations, and other logistical requirements for mobilizing personnel, ensuring adherence to budgetary and scheduling constraints.
Compliance Monitoring: Monitor compliance with relevant regulations, policies, and procedures related to mobilization activities, and address any discrepancies or issues as they arise.
Database Management: Maintain databases and tracking systems to monitor the status of personnel mobilization, including assignment locations, durations, and other relevant details.
Continuous Improvement: Identify opportunities for process improvements and efficiency enhancements in mobilisation procedures and contribute to the implementation of best practices.
Ad Hoc Support: Provide additional support and assistance to the mobilisation team, as needed, to facilitate the successful execution of projects.
Skills and Experience:
Proven experience in administrative roles, preferably in a project-based or mobilisation -focused environment.
Strong organizational skills with a keen eye for detail and accuracy.
Excellent communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
Proficiency in MS Office suite (Word, Excel, PowerPoint) and experience with database management systems.
Ability to work under pressure and prioritize tasks in a dynamic, fast-paced environment.
Familiarity with relevant regulations and compliance requirements related to mobilization activities is a plus.
Proactive attitude with a willingness to take initiative and drive process improvements.
Team player with the ability to collaborate effectively with cross-functional teams.
